My name is Philip Tatler and I have been conducting Club Stocktakes since 2009 as an Independent Stocktaker providing clients with a professional, accurate and reliant Club Beverage Stocktake and result. I live in the Stoke on Trent area and cover all of the Stoke on Trent & Newcastle under Lyme area venues. My experience as a Stocktaker goes back to when I first started working for the former Bass Taverns in the late 1980's starting as a part-time Bar person, working my way up to Licensed House Manager and Publican where I was required to conduct weekly, monthly and spot check Stocktakes using the Bass Retail system as well as assisting the company's Stocktaker when he or she arrived to do a regular Stocktake. It's also a job I enjoy doing.

I have also worked as a Stocktaker and Auditor for both OCS Churchill Stock taker's and Orridge & Co Stock taker's as a Counter and Stocktake  Audit supervisor and Analysist and I consider myself more than qualified to conduct your venues Stocktakes.

 

In 2009, I decided to form my own Stocktaking service, Club Count Stocktaking, providing a Bar Beverage & Food Stocktaking service to all Sports, Social, Private Member's and Working Men's clubs, Pubs & Restaurants in the Stoke on Trent and Newcastle under Lyme areas and offering an accurate, professional, honest and reliable service.

You might think, why should we have a Stocktake at our venue?

Having regular Stocktakes at your venue can help Identify any problem areas regarding your stock which could reduce profits and undermine the stability of the venue, it can also help to Identify theft, fraud and any Items not meeting profit expectations. I can also provide you and your venue with valuable Information and Insight to help you achieve an Increase in profit and reduction in any losses both further enhancing the viability and stability of the venue. There are further details below regarding what Information I need to conduct and process your venues Stocktake and provide you with a report and result along with a few tips for good stock control and on completion of each Stocktake, there will be my observations and recommendations Included in the report for you to view, consider and action.

 

Prices and Payment

I charge the following prices for each Individual Stocktake, discounts for both Food and Beverage Stocktakes for the same Client on the same day are 10%, with payment required in cash or card, in full on the day of your Stocktake.

Sorry, I don't allow credit, I've been let down too many times in the past by clients unable or refusing to pay.

Opening Stock and up to 28 days = £95.00 (New account set-up is FREE)

29 to 35 days = £100.00

36 to 42 days = £105.00

43 to 49 days = £110.00

50 to 56 days = £115.00

57 to 63 days = £120.00 (Recommended, Maximum Duration)

64 to 70 days = £130.00

71 to 77 days = £140.00

78 to 84 days = £150.00

85 to 91 days = £160.00 (Maximum)

Year End, one-off Stock Valuations = £295.00 (Subject to availability)

Report Additions = £49.00 for each addition. (See below)

I don't conduct Stocktakes past 91 days as a lot could be happening at your venue to reduce profits and undermine it's stability, I recommend a Stocktake every 2 month's or less. I can complete the result onsite on the day if you wish or I can email it to you later the same day, the choice is yours.

 

Information I need to conduct your venues Stocktake.

1. Copies of all your delivery notes, credit notes and Invoices

2. Details on your line cleaning, committee drinks and bar waste allowances

3. A till or EPOS reading so I can check the validity of the figures provided

4. Information on any offers, promotions, raffles or donations

5. A copy of your venues Takings for the period in question

With the above Information I can provide you with a comprehensive Stocktake report and analysis.

Tips for good Stock Control

These are to help you control your venues Stock and to minimise any losses.

1. Check all deliveries on receipt and report any discrepancies to the supplier Immediately

2. Keep all stock neat and tidy to avoid over/under ordering and possible count errors during a Stocktake

3. Rotate all stock to avoid any out of date stock, I don't give allowances for this, if you need to reduce close to out of date stock, I will give you an allowance. Keep a note in your waste and allowances book

4. Keep all stock rooms locked and secure to avoid theft

5. Don't leave any stock on display on the back of the bar, loosing a full 1.5 litre of spirit could cost your venue about £120.00

6. Ensure your bookwork and paperwork are kept up to date and are accurate so I can check them every time I conduct a Stocktake at your venue

7. Ensure your staff are properly trained in how to serve the correct drinks measures and are fully versant in how to operate the till or EPOS system in use at your venue, this is where most of the errors and stock loss comes from, insufficient training

Below, there is a 3 page example of the Basic, beverage and a 2 page basic Food report I use to conduct your Stocktake and provide your result with. It provides all of the vital Information regarding your venues stock and can help and guide you in making the correct decisions when you need to make any changes at your venue.

 

Report Information

As well as providing all of the standard Information, Takings analysis, Profit analysis Cumulative analysis, Stock Item analysis, Year End analysis, Allowance analysis, all of which are Industry standard, there is also a Profit Forecast analysis which estimates Profit to the end of the Financial Year to help you with Budgeting.

I can also add additional reports if you wish, Delivery analysis, Variance analysis and a detailed year-end analysis.

Extra charges may apply for these additional reports which are all subject to my approval and from the Information supplied.

 

New Clients

If your a new Client coming from a previous stock taker, I'll need a copy of your last Stocktake report(s), dated within the previous 3 months if you wish me to follow on from your previous stock taker, if it's longer than 3 months or if you've never had a stock take before, we'll need to start from scratch with results available from your second stock take. Disclaimer and Advisories

1. All Information presented in a completed and verified stock take report and result is based on Information supplied by you, the client, I, the Stocktaker, cannot accept responsibility for any Incorrect analysis or result if supplied with any Incorrect, Erroneous or Out of Date Information, it is your responsibility to provide me with the correct Information, I will also check all Information provided meet's the above mentioned criteria and fall's within the specified dates of the stock take.

2. All Information is Private and Confidential and will NOT be divulged to any unauthorised person or entity without you written permission.

3. A copy of the completed report will be left onsite for both the Management Committee and the Club Steward and in the case of Pubs and Restaurants it can be emailed to a specific person or department.

4. My computer systems are protected by anti virus and hacking software and only I have access to them so you data is safe, secure and backed-up after each stock take so no data or results are lost.
